SEEKING
We are seeking a highly organized, detail-oriented, and proactive Construction Coordinator to join our Production team and play a critical role in delivering our customers’ Westwind Homes on time and with excellence. This individual will serve as a central point of coordination between Construction Managers, vendors, trades, internal departments, and customers—ensuring seamless communication, accurate scheduling, and proper documentation throughout every phase of construction. The ideal candidate thrives in a fast-paced environment, demonstrates strong problem-solving skills, and takes initiative without heavy supervision. Bilingual communication is essential, along with a solid understanding of construction processes, scheduling systems, and administrative workflows. OBJECTIVES
To facilitate on time delivery of our customer’s new Westwind Home by supporting & coordinating efforts of Trades, Vendors, Engineers, Appraisers, Contract Coordinator, Construction Managers, Production Managers, City Officials, Purchasing Manager, Marketing Manager, & Customers.
JOB DUTIES, RESPONSIBILITIES & AUTHORITIES:
• Assists in the preparation, review, and administration of Trade/Vendor Contractual Agreements & Scopes of Work.
• Collect & organize trade and vendor invoices for Production Manager approval.
• Update job schedules through Scheduling Software by communicating with Construction Managers, Production Managers, Trades & Vendors.
• Assist Trades with navigating Vendor Portals in Westwind Homes’ Software.
• Update Reports as given by Vice President of Production.
• Assist Construction Managers, Trades, Closing Coordinator & Accounting by organizing effort between parties concerning Lead Time, Duration, Capacity, Projected vs. Actual Goals, Scopes of Work & Purchase Orders.
• File in an orderly manner all work orders, contracts, and lien waivers by job for the purpose of maintaining proper legal and historical records.
• All other tasks associated with or pertaining to contracts, work orders, and/or subcontractors.
• Generate all necessary paperwork for new releases including:
o Affidavits with site plans for subcontractors required to obtain city permits.
o Subcontractor assignment sheets completed superintendents.
o Copy work descriptions from master model and generate work orders.
o Copy schedule from master and upon receipt of building permit from city, print hard copy of schedule by date, bar chart and work progress report.
• At job completion, pay all outstanding retainers and mark all work orders.
• Update all excel spreadsheets associated with contracts department.
• Maintain and update all subcontractor files including general liability certificates of insurance, workmen’s compensation, and other federal and state employment records.
• Maintain performance records of the sub-contractors.
• Review Daily Logs from Construction Managers and send to Vendors/Subcontractors reminders about pending items.
• Daily updates with Construction Managers for construction schedules and keep them up to date in Builder Portal.
• Create construction schedules for new jobs once released.
• Create Packages for milestones in Construction.
• Request electrical service for homes in construction.
• Request fill pad and stake out start for each home.
• Create Permit Packs for City to apply for Building Permits and Water Meters.
• Manage & Update Construction Manager’s Calendars in Outlook.
• Receive warranty claims from customers and schedule Construction Managers for warranty assessment.
• Support Construction Managers trade scheduling activities for warranty activities.
• Follow up Customers / Warranty Claims for survey completion & reviews.
• Maintain an accurate warranty database in Westwind Homes warranty software.
• Send & Receive Community Quality Control Score Sheets, keep organized and record scores in tracking report.
• Compare Purchase Orders to Construction Schedules in each Subdivision.
• Work with Marketing Manager on when homes are complete for spec photos
• Work with Contract Coordinator to set final appraisal dates, when to send out builder docs for new sold builds, final surveys, COs, and permits.
• Create Warranty Manuals and Home Orientation Forms for Construction Managers
KNOWLEDGE REQUIREMENTS
• Technical school, college degree or four years of construction experience preferred.
• Attentiveness to detail, ability to prioritize work, make independent judgment, and work without heavy supervision.
• Requirements include basic construction knowledge, clerical/organizational skills, basic bookkeeping knowledge, computer literacy.
• Bilingual required.
PHYSICAL REQUIREMENTS
• Prolonged periods of sitting and computer-based drafting
• Ability to review large-format drawings digitally
• Must be legally authorized to work in the United States
